Director of Business Operations

TEAK is seeking a driven, collaborative, and highly organized individual with a passion for TEAK’s mission to serve as the Director of Business Operations and is responsible for all finance, business management, human resources, and technology activities at TEAK. The Director of Business Operations will report to the Executive Director and also manage an hourly Certified Public Accountant (CPA).

 

Key Responsibilities

Financial Management and Reporting

● Lead annual budgeting process for a $3.6+ million annual operating budget with the Executive Director

-Assist staff members with creating their own budgets

-Work with the leadership team to create a comprehensive budget for approval by the TEAK Board of Directors

-Train new staff members on the budget process

● Provide budget-to-actual financial reports to the Board of Directors on a regular basis, and work with the Executive Director to address significant variances

● Manage TEAK’s annual audit process

● Produce analyses as requested by Executive Director and Board of Directors to guide program-related and operational decision-making, including staffing/hiring, and allocation of non-personnel resources

● Work with CPA on all required annual government filings – Form 990 tax return, Form 5500, Form 1099 Recruitment

Day-to-Day Business Management

● Serve as the primary point of contact for all of TEAK’s financial partners, including banking and investment management relationships, insurance brokers, etc.

● Manage organizational cash flow and related forecasting

● Ensure proper categorization/coding on all expenses

● Constantly evaluate TEAK’s existing business processes, putting improvements into place as needs arise

● Work in partnership with staff on an ongoing basis to make sure their business-related needs are met

 

Communications and Development

● Produce upon request tailored financial attachments/reports for any outgoing grant applications and grant reports

● Work with the Development team to ensure that all donations are properly categorized/coded

● Responsible for monthly reconciliation of bank account to donation/donor tracking database

● Responsible for donor list, including in-kind donations, for TEAK Annual Report

 

Human Resources

● Responsible for bi-weekly payroll for all full-time, part-time, and seasonal staff, including preparing all related accounting journal entries, ensuring that all benefit and payroll deductions are accurately processed, etc.

● Manage semi-monthly processing of retirement plan benefits for full-time staff

● Manage employee benefits program, serve as the point of contact to the insurance broker for all employee insurance-related benefits; manage annual open enrollment benefits process, designing and conducting educational programs on benefit programs

● Responsible for operational HR functions, including overseeing background checks and onboarding of new employees, maintaining employee records, overseeing the annual review process, conducting exit interviews for departing employees, etc.

● Responsible for tracking time off, administering Flexible Spending Account (FSA) benefits, etc. ● Review all formal HR policies, procedures, and administration, ensuring compliance, recommending improvements and revisions

● Ensure institutional commitment to diversity, equity, and inclusion is met through hiring, onboarding, and ongoing support of TEAK staff

Qualifications

● A commitment to TEAK’s mission and work.

● Bachelor’s degree in related field (Finance, Accounting, Business Management); MBA or CPA very strongly preferred.

● At least 5 years of relevant experience

● Ability to handle complex tasks and manage multiple priorities.

● Highly detail-oriented.

● Strong time management skills.

● Ability to maintain a high level of professionalism and confidentiality.

● Experience using QuickBooks Online preferred.

● Familiarity with Salesforce, Google Suite, Microsoft Office, RingCentral, Meraki, development platforms, or similar software

● Proactive and performance-driven, with accomplishments as a business leader within a client/donor-driven organization. If coming from the for-profit sector, nonprofit board and/or volunteer experience is important.

● Demonstrated success in budgeting and financial reporting; nonprofit financial management experience strongly preferred.

● Skilled at explaining financial concepts to those without financial backgrounds.

● Effective and proactive communicator and problem-solver in a fast-moving environment.

● Strong commitment to supporting team members.
